Add photo and order notes

Use notes for the instructions you’ll need when making the order. Put each note beside the photo, product, or order it belongs to.

Notes about a photo #

Select one photo and open Photo notes, or press N. Check the filename before typing.

Be specific: “Retouch the small mark on the left sleeve” is easier to follow than “Fix this.”

Notes about a product or add-on #

Use an item note when the instruction applies to one ordered product. If the same photo appears in several products, make clear which one needs the change.

Item-add-on notes belong to an add-on on that product. Order-add-on notes belong to a charge or service for the whole order. For example, keep a mounting instruction with the print and a delivery instruction in Order Notes.

Notes about the whole order #

Open Order Notes in Order Review for instructions that apply to everything. Recheck notes after changing a product, size, or quantity so they still match the order.

Save or change a note #

In Quick Order, note changes update the open session after a short typing delay, when you leave the field, or when you close the window. You still need to use Save Session to write the .IPS file.

To edit or clear a note, open the correct photo, item, add-on, or order note. Use its save or accept control where one is shown. In Quick Order, leaving the field accepts the pending change. Check Order Review and save the session afterward.

Generate a fresh PDF after changing a note. A PDF that’s already open won’t update by itself.

Check what your client will see #

Photo, item, item-add-on, order-add-on, and whole-order notes can appear on the PDF. Payment references and notes can appear too. Use another system for internal comments that shouldn’t be shared.

Read every PDF page before sending it, especially when long notes cross a page break. Make sure each instruction is still clearly connected to the right item.

Use filenames or product names where needed. Keep unnecessary personal information out of notes, and never enter passwords, full card numbers, or security codes.
