Review the order and record payments

Open Order Review or press Ctrl+R to check the whole order with your client.

Check each item #

Review the filename, product, size, quantity, price, add-ons, package setting, and notes. If one photo has several products, check each line.

Items keep their stored prices and the image appearance recorded when they were ordered. Later catalog changes or source-photo adjustments don’t update them automatically.

Use the item’s edit or removal control for corrections. Double-click a thumbnail or press Enter to inspect its source photo, then choose Return to Review. The source photo may look different from the recorded order preview.

Order-wide charges and notes #

Use Order Add-Ons for charges that apply to the whole order. Check descriptions, prices, tax settings, and notes, and make sure the charge hasn’t also been added to an individual item by mistake.

Use Order Notes for instructions that apply to everything. Photo, item, add-on, and order notes can print on the PDF, so review them with the recipient in mind.

Add a discount #

Choose Discount or press Ctrl+D in Review. Select Percent (%) or Amount ($), enter the amount, and add a label if useful. Check the type before applying it.

Inactive discounts are ignored. Discounts reduce the taxable base proportionally. Currency values round to two decimals, with midpoint values rounded away from zero.

Check the actual total after applying discounts, particularly when combining them or mixing taxable and non-taxable items. The field order on screen doesn’t establish the calculation sequence.

Check tax #

Orders use their saved tax policy. Changing the studio default doesn’t update existing saved sessions.

If an older session has no stored policy, choose current settings, another rate, or no tax when prompted. Check the rate, each item’s taxable status, and the total before saving. Use the tax treatment required for your business.

Record a payment #

Collect payment through your usual provider first. Once it’s confirmed there, open Payments → Apply Payment and enter the Amount, Method, and Reference.

Order Balance fills the current balance. 50% Balance fills half. Check the amount before applying it.

Methods are Cash, Checks, Credit/Debit, Bank Transfer, Gift Card, and Other. Cash is selected by default, so change it when needed.

IPS Viewer records the payment. It doesn’t charge a card, transfer money, verify funds, or issue a refund when you change a record.

Check the remaining balance #

Compare payment records with your provider’s transactions. Negative saved payment amounts aren’t applied. An overpayment can leave a negative balance; check the records if that happens.

Payment references and notes can print on the PDF. Use a transaction reference or check number, never full card details, security codes, passwords, or bank credentials.

Finish and save #

Confirm the items, quantities, notes, discounts, tax, total, payments, and balance. Save the session, then choose View PDF. Check it before sharing and keep a permanent copy. If the order changes again, generate and save a new PDF.
